These Terms & Conditions ("Terms") govern your access to and use of the
Pearl Public Hr. Sec. School ERP portal, hosted at
pearlpublic.rewashree.in and developed by Incrypt Infosoft.
By accessing or using this platform — including its fee payment gateway, student portal,
attendance system, and communication modules — you confirm that you have read, understood,
and agreed to be bound by these Terms. If you do not agree, please discontinue use of the
portal immediately.

Legal Agreement: These Terms constitute a legally binding agreement between
you (student, parent/guardian, or staff member) and Pearl Public Hr. Sec. School. Use of
the ERP portal, including browsing or making a payment, constitutes your acceptance of these
Terms in full.
1 Definitions
For clarity throughout these Terms, the following definitions apply:

| "ERP Partner" | Incrypt Infosoft, the technology provider that developed and maintains the Portal |
| "User" | Any person who accesses or uses the Portal, including students, parents/guardians, and staff |
| "Account" | The registered login created for an authorised User to access the Portal |
| "Services" | All features available through the Portal, including fee payments, attendance, results, and communications |
| "Payment Gateway" | The integrated third-party payment processing service used for online fee transactions |
| "Content" | All text, data, graphics, reports, and materials available on or through the Portal |
2 Eligibility & Account Access
To use the ERP Portal, you must meet the following eligibility criteria:
- You must be a currently enrolled student, parent/legal guardian of an enrolled student, or an employee of the School
- Accounts are created and assigned by the School administration; self-registration is not permitted
- Students who are minors must access the Portal only under parental supervision or with parental consent
- You must provide accurate, complete, and current information when using School services through the Portal
Account Security: Your login credentials are personal and confidential.
You are solely responsible for all activity that occurs under your account. Never share your
username or password with anyone, including other students or staff.
If you believe your account has been compromised, notify the School administration immediately at
pearlsgr001@gmail.com or call 07582-268022.
3 Permitted Use of the Portal
The ERP Portal is provided exclusively for legitimate educational and administrative purposes. You may use the Portal to:
- View academic records, attendance, timetables, and examination results
- Pay school fees and download payment receipts
- Access notices, circulars, and school announcements
- Submit or update personal/contact information as permitted by the School
- Communicate with the School administration through designated modules
You must NOT use the Portal to:
- Access any account other than your own authorised account
- Attempt to reverse engineer, hack, or disrupt the Portal or its infrastructure
- Upload or transmit any malicious code, virus, or harmful software
- Scrape, harvest, or collect data from the Portal by automated means
- Impersonate any other user, staff member, or school official
- Use the Portal for any commercial, political, or non-educational purpose
- Post or transmit any offensive, defamatory, or unlawful content
Prohibited Conduct: Any misuse of the Portal — including unauthorised access,
tampering, or fraudulent activity — may result in immediate account suspension and may be
reported to appropriate law enforcement authorities under applicable Indian law, including the
Information Technology Act, 2000.
4 Fee Payment Terms
The Portal facilitates online fee payments through an integrated Payment Gateway. By making a payment, you agree to the following:
- Accuracy: You are responsible for ensuring the correct fee amount, student details, and payment category are selected before confirming a transaction
- Authorisation: By completing a payment, you confirm you are authorised to use the payment method provided
- Processing Time: Online payments are generally processed in real time; however, during technical issues, processing may take up to 3 working days
- Receipt: A digital receipt will be generated upon successful payment. It is your responsibility to download and retain this receipt
- Dues & Deadlines: Payment of fees by due dates is mandatory as per the School's fee schedule. Online payment does not exempt students from late-payment penalties if the deadline has passed
- Partial Payments: Partial payments are only accepted if specifically permitted by the School administration for a given fee category
Failed Transactions: If your payment is deducted from your bank/UPI but not
reflected on the Portal within 3 working days, contact us at
pearlsgr001@gmail.com with your transaction reference number, date, amount,
and screenshot. Do not make a second payment before verification.
5 Refund & Cancellation Policy
All fee payments made through the Portal are subject to the School's fee refund policy:
- Duplicate Payments: If a fee is paid twice due to a technical error, the duplicate amount will be refunded to the original payment source within 7–10 working days after verification
- Erroneous Payments: Payments made under a wrong fee head or student account will be reviewed and corrected subject to school administration approval
- Admission Cancellation: Refunds upon withdrawal or cancellation of admission are governed by the School's Admission Policy and applicable State/Central government guidelines
- Non-Refundable Fees: Registration fees, prospectus fees, and examination fees are non-refundable unless the School specifically communicates otherwise
- Gateway Charges: Any applicable payment gateway convenience charges or bank charges are non-refundable
Refund Requests: All refund requests must be submitted in writing to the
school office or via email at pearlsgr001@gmail.com within 15 days
of the transaction date. Requests submitted after this period may not be entertained.
6 User Responsibilities
As a User of the Portal, you accept the following responsibilities:
- Accurate Information: Ensure all personal and contact information linked to your account is accurate and kept up to date
- Device & Browser Security: Access the Portal only from secure, trusted devices. Avoid using public computers or unsecured networks for portal access
- Logout: Always log out of the Portal after each session, especially on shared devices
- Notifications: Enable and regularly check email and SMS notifications from the School for important updates, fee reminders, and communications
- Compliance: Comply with all School policies, rules, and regulations while using the Portal and its services
- Reporting Issues: Promptly report any technical errors, security concerns, or unauthorised account activity to the School administration
7 Intellectual Property
All content, design elements, software, and materials on the ERP Portal are owned by or licensed to Pearl Public Hr. Sec. School and/or Incrypt Infosoft. This includes:
- The school name, logo, emblem, and branding
- The ERP software, its design, architecture, and code
- Academic content, reports, notices, and publications generated through the Portal
Users are granted a limited, non-exclusive, non-transferable licence to access and use the Portal solely for its intended educational purposes. You may not:
- Copy, reproduce, or redistribute any content from the Portal without written permission
- Modify, create derivative works from, or commercially exploit any Portal content
- Remove or alter any copyright, trademark, or proprietary notices
Personal academic documents generated on your behalf (such as mark sheets and fee receipts)
may be downloaded and retained for your own use.
8 Third-Party Services
The Portal integrates with third-party services to deliver its features. These include:
- Incrypt Infosoft: ERP platform developer and hosting service provider
- Payment Gateway Provider: Processes online fee transactions securely
- SMS/Email Service Providers: Used to deliver notifications and communications
Your use of these integrated services is also subject to the respective terms and privacy policies of those third-party providers. The School is not responsible for the independent practices of third-party services beyond its operational control.
The Portal may contain links to external websites for reference purposes. The School does not
endorse or take responsibility for the content, accuracy, or practices of any external sites.
9 Disclaimer of Warranties
The ERP Portal and its Services are provided on an "as is" and "as available" basis. While we strive to ensure continuous, error-free access, the School and Incrypt Infosoft make no warranties, express or implied, that:
- The Portal will be available uninterrupted or free from technical errors at all times
- All information displayed on the Portal is always free from inaccuracies or omissions
- The Portal is completely immune to unauthorised access, cyber-attacks, or data breaches
Scheduled maintenance, system upgrades, or unforeseen technical issues may result in temporary unavailability. The School will endeavour to notify Users of planned downtime in advance through the Portal notice board or registered contact details.
10 Limitation of Liability
To the maximum extent permitted by applicable law, Pearl Public Hr. Sec. School and Incrypt Infosoft shall not be liable for:
- Any indirect, incidental, or consequential loss arising from your use of or inability to use the Portal
- Unauthorised access to your account due to your failure to maintain credential security
- Loss of data due to circumstances beyond the School's reasonable control, including force majeure events
- Payment failures, delays, or disputes that arise directly from the payment gateway provider's systems
- Any decisions made in reliance on information displayed on the Portal that contains errors not attributable to wilful misconduct by the School
In all cases, the School's total aggregate liability to any User arising from these Terms
shall not exceed the amount of fees paid by that User through the Portal in the immediately
preceding academic year.
11 Suspension & Termination
The School reserves the right to suspend or terminate your access to the ERP Portal:
- If you breach any provision of these Terms
- If your account is found to be involved in fraudulent, unauthorised, or harmful activity
- Upon a student's withdrawal, expulsion, or completion of studies at the School
- Upon an employee's resignation, dismissal, or end of contract
- For maintenance, security, or operational reasons, with notice where feasible
Upon termination, your right to access the Portal ceases immediately. Obligations that by their nature should survive termination (such as payment dues and intellectual property rights) shall continue to apply.
12 Governing Law & Disputes
These Terms shall be governed by and construed in accordance with the laws of India, including but not limited to:
- The Information Technology Act, 2000 (and its amendments)
- The Digital Personal Data Protection Act, 2023
- The Consumer Protection Act, 2019 (as applicable)
- Any regulations issued by the CBSE, MP Board, or relevant educational authorities
Any disputes arising from or related to these Terms or the use of the Portal shall first be attempted to be resolved through good-faith discussion with the School administration. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts in Gwalior, Madhya Pradesh.
We encourage Users to raise concerns directly with the school administration before pursuing
formal legal recourse. Most issues can be resolved efficiently through direct communication.
13 Amendments to These Terms
Pearl Public Hr. Sec. School reserves the right to revise these Terms at any time. When changes are made:
- The "Last Updated" date at the top of this page will be revised accordingly
- Material changes will be communicated via the ERP Portal notice board and/or registered email addresses
- Continued use of the Portal after the effective date of any revision constitutes your acceptance of the updated Terms
- If you do not agree with any revised Terms, you must discontinue use of the Portal and notify the School administration
Users are encouraged to review these Terms periodically to stay informed of any updates.
